The firm's IP Services team provides high-level administrative and practice management support to its Patent practitioners, serving as a centralized liaison between clients, attorneys, and internal business functions. The firm is known for a collaborative culture, a strong commitment to client service, and a focus on professional development across its Business Support teams. This role is hybrid, based in Boston, Massachusetts.

THE ROLE YOU WILL PLAY:

  • Serve as the centralized point of contact, providing high-level, non-billable administrative and practice management support to a team of Patent practitioners
  • Act as the key liaison between senior attorneys, clients, and internal teams, anticipating needs and supporting the integration of new practitioners
  • Oversee new client engagement and conflicts checks, and draft and finalize waiver and audit letters
  • Support client transition activities, including intake, transfer, and disengagement, coordinating with foreign agents as needed
  • Create and maintain client and partner reference guides, and provide transition support to departing practitioners
  • Coordinate practice group meeting logistics, support practitioners' professional development needs, and arrange complex domestic and international travel
  • Manage the pre-bill review process and partner with Financial Services to compile reports, analyze data, and monitor client matter budgets
  • Serve as liaison between clients and collections on billing discrepancies, write-offs, and discounts; process expense reimbursements and international invoice approvals
  • Monitor filing deadlines and maintain status, docket, and reporting charts in coordination with client service specialists and trademark paralegals
  • Conduct research and extract relevant information from public and private IP databases
  • Support business development and marketing initiatives, including tracking and reporting on client pitches
  • Lead special projects, including serving as the point of contact for pro bono matter intake and tracking diligence projects
  • Champion diversity, equity, and inclusion, uphold firm policies and risk-reporting protocols, and provide back-up support to other practice team specialists


BACKGROUND PROFILE:

  • 3+ years of relevant IP experience
  • Relevant executive administrative experience
  • Proficiency in the Microsoft Office suite and firm practice management systems (training provided during onboarding)
  • Availability to work overtime as required
  • Bachelor's degree preferred
  • Prior law firm experience strongly preferred
  • Strong customer service orientation, with excellent attention to detail, organization, and prioritization skills
  • Ability to work independently under pressure and tight deadlines
  • Creative, entrepreneurial approach to problem-solving and process improvement
  • Flexible and adaptable, with strong initiative, a get-it-done attitude, and excellent communication skills
