The firm supports a large, multi-office roster of attorneys and practice groups with a dedicated Business Intake and Conflicts function responsible for conflicts review, new business intake, and compliance processing. THE ROLE YOU WILL PLAY:
- Provide day-to-day management and mentorship of direct reports; ensure compliance with assigned work hours and monitor adherence to firm and department policies
- Manage workflow and staffing coverage; review and process time logs and time-off requests
- Serve as the main point of contact for escalated questions from the assigned team and cross-functional partners, including attorneys, paralegals, and other business professionals
- Meet weekly with the assigned team and provide written updates for discussion with department leadership
- Respond to status checks and facilitate work as needed
- Process and clear all forms within the respective division
- Monitor team coverage of email boxes and queues, ensuring timely and appropriate responses
- Maintain proficiency in the roles of direct reports and assist across the division as needed
- Interact regularly with attorneys, paralegals, and business professionals via email and phone to investigate and resolve potential conflict, intake, or compliance issues
- Participate in strategic discussions with department leadership on service goals, procedures, and process refinement
- Collaborate with department leadership and HR on hiring, performance appraisals, counseling, terminations, and other employee lifecycle events
- Partner with cross-functional and leadership teams on the training, development, and oversight of all team members, including new hires
- Take primary responsibility for day-to-day implementation of agreed strategies to achieve service goals and targets
- Ensure consistency of team approaches and alignment in the application of procedures
- Track and facilitate workflow across the team to ensure volume, quality, and timeliness expectations are met
- Support the development and implementation of training programs related to conflicts policies and procedures, including onboarding and ongoing training
- Coordinate the creation of training programs, materials, and events for individuals outside the department, such as attorneys, secretaries, and practice team assistants
- Provide regular updates to partners, practitioners, departments, and business professionals as needed
- Stay current on legal trends and industry developments
BACKGROUND PROFILE:
- 5+ years of combined conflicts and legal intake experience
- Proficiency in Microsoft Office and firm document/conflicts management systems (training provided)
- Ability to work extended and/or weekend hours, as required
- Ability to travel, as required
- Bachelor's degree or JD preferred
- Prior training experience strongly preferred
- Knowledge and experience with complete conflicts resolution strongly preferred
- Paralegal certificate or completion of an ethics course in a paralegal program preferred
- Prior experience as a paralegal or legal researcher in a law firm preferred
- Supervisory experience preferred
- Strong customer service focus and attention to detail
- Excellent written, oral, and presentation communication skills with technical and non-technical audiences
- Exceptional interpersonal skills with the ability to facilitate and solve problems
- Ability to organize, prioritize, and coordinate multiple activities under tight timelines and shifting priorities
- Strong judgment, ownership, and initiative, with the ability to drive projects to completion
- Demonstrated ability to lead through influence and develop talent
